Terms and Conditions for AIS India Events

By registering for any event organized by the AIS India Chapter, you agree to abide by the following terms and conditions. Please read these carefully before submitting your registration.

1. Event Registration

1.1 Eligibility

By registering for an event, you confirm that you meet all eligibility requirements for the event. For certain events (e.g., VFX Training), special eligibility criteria such as qualifications or application submissions may apply.

1.2 Registration Process

To attend any AIS India event, you must complete the registration process, including providing accurate personal details, payment information (where applicable), and any additional documents requested (e.g., proof of student status).

1.3 Confirmation of Registration

Upon successful registration and payment (if applicable), you will receive a confirmation email. Your registration will be considered complete only when you receive this confirmation.

2. Payment and Discounts

2.1 Payment for Paid Events

For events that require a registration fee (e.g., XR Workshop, Virtual Production Symposium), the fee must be paid by the specified deadline to confirm your attendance. Payment can be made via credit card, debit card, UPI, or bank transfer, as per the options provided on the registration form.

2.2 Member Discount

AIS India members may be eligible for a 25% discount on registration fees for certain events. To qualify for this discount, the member must verify their AIS India registered email address during registration. The discount will only apply to events where it is specifically stated.

2.3 Refunds and Cancellations

Refunds will only be issued in accordance with the cancellation policy for each event, which will be communicated at the time of registration. In general, cancellations made before 7 days prior to the event may receive a full or partial refund, depending on the event's terms.

3. Event Changes and Cancellation

3.1 Event Changes

AIS India reserves the right to modify the event schedule, location, format, or content due to unforeseen circumstances. Any significant changes will be communicated to registered participants via email as soon as possible.

3.2 Event Cancellation

In the unlikely event that an event is cancelled by AIS India, registered participants will be notified, and they will be eligible for a full refund of any paid registration fees. AIS India will not be held liable for any travel, accommodation, or other expenses incurred by participants due to event cancellations.

4. Code of Conduct

4.1 Behavior at Events

Participants are expected to conduct themselves professionally and respectfully during all AIS India events. This includes respecting the rights of others and refraining from inappropriate behavior, including harassment, discrimination, or disruptive actions.

4.2 Disciplinary Action

AIS India reserves the right to remove any participant from an event if their behavior is deemed inappropriate, and no refunds will be issued in such cases.

5. Recording and Photography

5.1 Photographs and Videos

By attending an AIS India event, you agree to be filmed, photographed, or recorded for promotional purposes. These recordings may be used in future AIS India publications, advertisements, and social media.

5.2 Intellectual Property

All event materials (e.g., presentations, handouts, videos) are the intellectual property of AIS India or the respective presenters and are provided solely for personal use. Any unauthorized distribution, reproduction, or use of event materials is prohibited.

6. Liability and Disclaimers

6.1 Participant Liability

By registering for an event, you agree to take full responsibility for your own actions during the event. AIS India will not be held liable for any injury, loss, or damage that occurs during the event.

6.2 Force Majeure

AIS India will not be held responsible for any delays, cancellations, or disruptions to events caused by factors beyond its control, including but not limited to natural disasters, pandemics, or government regulations.

7. Privacy and Data Protection

7.1 Personal Data

By registering for an event, you agree to provide accurate and up-to-date personal information. AIS India will handle your personal data in accordance with its Privacy Policy, which outlines how your data is used, stored, and protected.

7.2 Marketing Communications

By registering, you consent to receiving marketing communications from AIS India, including information about upcoming events, workshops, and related news. You can unsubscribe from these communications at any time.

8. Dispute Resolution

8.1 Governing Law

These terms and conditions will be governed by and construed in accordance with the laws of India.

8.2 Dispute Resolution

Any disputes arising from these terms and conditions or participation in an AIS India event will be resolved through mediation or arbitration. If this is unsuccessful, the dispute will be resolved in the courts of Hyderabad, India.

9. Modifications to Terms

9.1 Updates to Terms

AIS India reserves the right to update or modify these terms and conditions at any time. Registered participants will be notified of any significant changes via email.

10. Acknowledgement

By completing your event registration, you acknowledge that you have read, understood, and agreed to these terms and conditions.
